End-user license agreement
Terms of use of W18k Office, the internal system of W18K Inc., and of its connection to Intuit QuickBooks Online. Effective October 1, 2026.
Who we are
W18K Inc. ("W18k", "we") is a wholesale supplier of 18K gold jewelry to retail jewelers, with an office in Marlborough, Massachusetts, and a showroom in the Seybold Building, Miami, Florida. What W18k Office is
W18k Office is the back-office system of W18K Inc., served at office.w18k.com. It is built and operated by W18K Inc. for its own business: sales, customers, inventory, services, bookkeeping and the communication with our trade customers. It is not sold, licensed or offered to other companies.
Who may use it
- W18K Inc. staff with a user account created by an administrator. Each person signs in with their own credentials and sees what their role allows.
- Trade customers of W18K Inc., through the retailer portal and the W18k 18k Miami app, for their own account only: catalog, orders, invoices, payments and services.
Credentials are personal and may not be shared. Access ends when the person leaves W18K Inc. or the customer account is closed.
License
W18K Inc. grants each authorized user a limited, non-exclusive, non-transferable right to use W18k Office for the business of W18K Inc. and, for trade customers, for their purchases from W18K Inc. The software, its design and its data remain the property of W18K Inc. You may not copy, resell, sublicense, reverse engineer or extract the system or its data, or use it to build a competing product.
Connection to Intuit QuickBooks Online
- Whose books. W18k Office connects only to the QuickBooks Online company of W18K Inc. The connection is authorized by a W18K Inc. administrator through Intuit's sign-in (OAuth 2.0); no Intuit password is typed into or stored by W18k Office.
- What it does. It reads the chart of accounts of the company and posts to QuickBooks the entries that a member of our finance team chooses to post (payments received, bills paid and bank deposits). Nothing is posted by itself.
- What it stores. The access and refresh tokens that Intuit issues, encrypted at rest, and the company name and id. No customer of W18K Inc. can see or reach the QuickBooks data.
- Disconnecting. An administrator can disconnect at any time in Settings › Integrations, or from the connected apps list of the Intuit account. Disconnecting deletes the tokens held by W18k Office.
- Intuit's terms. Use of QuickBooks Online itself is governed by Intuit's own terms of service and privacy statement.
Your data
How W18K Inc. collects, uses and protects personal information is described in our Privacy policy, which is part of this agreement.
Availability and warranty
W18k Office is provided as it is, for the internal use of W18K Inc. We work to keep it available and correct, but we do not promise uninterrupted operation and we are not liable for indirect losses arising from its use, to the extent the law allows. Records of invoices, payments and taxes remain the responsibility of W18K Inc. regardless of the system.
Termination
W18K Inc. may suspend or end access of any user who breaks this agreement or whose role no longer needs it. Trade customers keep the right to receive their invoices and statements after their portal access ends.
Governing law
This agreement is governed by the laws of the Commonwealth of Massachusetts, United States.
Changes
When this agreement changes, the new version is published here with a new effective date.
