Who we are

W18K Inc. ("W18k", "18k Miami", "we") is a wholesale supplier of 18K gold jewelry to retail jewelers, with an office and atelier in Marlborough, Massachusetts, and a showroom in the Seybold Building, Miami, Florida. This policy covers www.w18k.com, www.18kmiami.com, our wholesale and consumer portals, and the way we use the business pages we own on Google Business Profile, LinkedIn, Instagram and Facebook.

What we collect

• What you give us. Name, company, phone, WhatsApp number, e-mail and address when you apply for a wholesale account, book a visit, send a message, place an order or ask for a quote. Wholesale applications may also ask for your resale certificate or tax ID, which the law requires us to keep.
• Orders and payments. What you bought, invoices, statements and payment status. Card and bank details are entered directly with our payment processors (Authorize.Net, Plaid, Stripe); we never store full card numbers.
• Messages. E-mails, WhatsApp conversations and web-form messages exchanged with our team, so we can follow up on your request.
• Site usage. Pages visited and basic device information through Google Analytics and our e-mail tool (Mailchimp), used to understand how the sites are used. No consumer site of a retailer we serve carries our analytics.

Our pages on Google, LinkedIn, Instagram and Facebook

We connect our own business pages to our internal system so that our team can publish posts and photos to those pages and read the public information, insights and comments of our own pages. We do not collect personal data of platform users beyond what each platform shows us for our own pages, we do not use it to build profiles of individuals, and we never sell it. Access tokens are kept encrypted on our server and can be revoked at any time from the platform. If you interact with our pages and want us to delete anything we hold as a result, write to [email protected].

How we use your information

• To answer you, book your visit, open your account, fulfil orders and issue invoices.
• To send order updates and, if you are a trade customer or asked for it, news about arrivals and prices. Every marketing e-mail has an unsubscribe link; WhatsApp messages stop when you ask.
• To keep our records, meet tax and anti-fraud obligations and protect our business.

Who we share it with

Only service providers that help us run the business: payment processors, shipping carriers, e-mail and messaging providers, hosting, and the platforms named above, each bound to use the data for our service only. We also share data when the law requires it. We do not sell personal information.

How long we keep it

Account, order and invoice records are kept for as long as you are a customer and for the period tax law requires afterwards. Messages and booking requests are kept while they are useful to serve you. Analytics data is kept in aggregate.

Your choices and rights

• Access, correction, deletion. Write to [email protected] from the e-mail on file. We answer within 30 days and delete what we are not required by law to keep.
• Marketing. Unsubscribe from any e-mail, or tell us on WhatsApp to stop.
• Cookies. Our sites use only the cookies needed to work and the analytics named above; you can block them in your browser.

Security

Data is transmitted over HTTPS and stored on servers with restricted access. Payment data never touches our servers.

Children

Our sites and services are for adults and businesses. We do not knowingly collect information from anyone under 16.

Changes

When this policy changes, the new version is published here with a new effective date.
